Objective

When the client approached Helios Event Productions to plan and manage their mehndi celebration, the objective was clear, to create a vibrant, joyful and culturally rich experience that everyone would remember.

We kept our focus on five things that truly mattered.

• Ensure a Smooth Flow: The client assigned Helios Event Productions to handle everything from start to finish. It took careful planning, close coordination to make sure everything ran smoothly.

Challenges

We faced several challenges in planning and executing this mehndi event:

• Theme Execution in Limited Time: We had to execute a detailed, colourful mehndi theme in a limited setup window.
• Cultural Authenticity: We had to ensure the setting felt traditional and modern enough to appeal to all generations.
• Space Planning: Fitting the Decor, performances and guest movement into a small space without making it feel cramped was a real challenge. We had to be smart with the layout, where things went and how we used lighting to make everything in flow flow.
• Guest Engagement: Keeping guests, especially families and children, engaged throughout the event was key. Passive Decor wouldn’t be enough, it had to invite interaction.
• Logistics and Coordination: Coordinating multiple vendors, including Decorators, mehndi artists, musicians and anchors, required careful planning and seamless execution. We had to ensure that everyone worked together efficiently and the event ran smoothly.

Helios’s Event Production Strategic Approach

We broke down the event into two main zones: Decor and Entertainment & Engagement.

Decor Strategy

We decided to go full on vibrant. The idea was to create a visual burst of colour and texture that would energize the space instantly.

1. Floral Elements: We decorated every corner with bright flowers and hanging flower balls. They didn’t just look pretty, they were conversation starters.
2. Draping: The venue was covered with multicoloured fabric drapes. The layering of yellow, pink, orange and green added rhythm to the atmosphere. These drapes also helped in softening the sunlight and bringing a uniform festive tone.
3. Traditional Touches: We used traditional Rajasthani umbrellas to bring in a touch of India’s rich craft heritage. They were not just for decoration they helped set the mood and vibe for the event.
4. Seating Layout: We placed low seats with pillows and cushions on the floor to make the place feel warm and comfortable. This helped guests relax, talk, play games, and enjoy the dancing.
5. Lighting: We used a combination of ambient lighting, spotlights, and Decorative lighting to make the space feel warm and welcoming. The lighting was carefully planned to bring out the colours of the decor and set the perfect mood.

Entertainment & Engagement Strategy

We knew Decor alone wouldn’t deliver a memorable experience. The true energy of a mehndi event lies in its people, their laughter, participation and interaction. So, we designed a full circle entertainment plan:

1. Live Mehndi Artists: We set up multiple mehndi stations where artists offered custom designs, making the experience special for the bride and her close family.
2. Traditional Shehnai Music: We started the evening with live shehnai music, which immediately gave the event a calm and traditional vibe.
3. Anchors & Game Hosts: Two energetic anchors kept the fun going by hosting games and chatting with guests, making sure everyone stayed engaged and the energy stayed high.
4. Family Games: The games were simple and fun, from balancing glasses to musical props, so everyone, young or old, could join in and have a good laugh.
5. Dance Performances: Family members performed choreographed dances and we handled the stage, lights and music so everything flowed smoothly and the energy stayed high.
